WhiteSQ Ltd uses the information you submit to respond to your business enquiry, discuss the work and prepare a possible quote. Contact hr@whitesq.com with questions or requests to correct or delete your enquiry.

What we collect

Your contact name, brand or company, email, optional phone and website, and the project requirements you choose to share. Do not include identity documents, payment details, sensitive personal information or confidential product formulas.

How we handle it

Enquiries are saved in WhiteSQ’s website database and made available to authorised WhiteSQ management accounts. They are not published, shared with other brands or placed in the staff recruitment sheet. Our hosting and database providers process the records to operate the website. We do not use this form to enrol you in marketing.

Delivery estimates

The delivery calculator sends collection, delivery and depot postcodes to Postcodes.io and postcode coordinates to FOSSGIS routing to calculate road distances. These providers process requests under their own privacy policies: Postcodes.io and FOSSGIS routing. No name, email or phone number is required. We save the route, load details, requested collection timing, estimate reference and pricing assumptions for up to 90 days, visible only to authorised WhiteSQ management. Route calculations are cached for up to 24 hours. Hashed network identifiers limit requests and expire after two hours; expired technical records are removed during calculator use. Estimates do not reserve a vehicle or create a booking. If you enquire by email, management may create a private delivery record containing contact details, agreed arrangements, progress and proof of delivery. Customer updates are sent by a team member through their connected Gmail account. Delivery and billing records are retained for operational and applicable business record requirements; contact us to discuss correction or deletion. Your email application opens only if you choose the email link; you decide whether to send it.

Form protection

We use short-lived form tokens and a hashed network identifier to limit automated submissions. These technical form records are removed after 24 hours during routine form maintenance. We do not store your raw network address in the enquiry record.

Retention and your choices

We keep enquiry details while handling your request and any related business discussions or agreed work. You can ask us to correct your information or consider a deletion request. Some records may need to be retained where they relate to agreed work or other business record requirements. Contact the team to discuss your request.
